Faqs

Below you can find the list of frequently asked questions and answers about Involy.

Registration, usage and pricing plans

Can I use Involy for free?

Yes, Involy has free plans for both freelancers and companies that allow issuing up to 24 invoices per year.

Do I need to enter credit card details to use the free plan?

No, you can start using Involy with a free plan without entering any card details.

What happens if I exceed the limits of the free plan?

You can choose one of our paid monthly or annual plans, which are very affordable; if you don't want to commit to a subscription, you can also pay for each additional invoice at a cost of a few cents.

Does Involy have a trial plan?

Involy does not offer a trial plan because it already provides a free plan that you can use indefinitely, up to a maximum of 24 invoices per year. This allows you to test the app's functionality and, if satisfied, later opt for a paid plan to issue more invoices.

I haven't received the registration confirmation email

When you register on Involy a confirmation email will be sent to the address you provided during registration. If you don't see the email, it may have arrived in your spam folder or you may have mistyped the address. If you can't find it, you can contact us via the contact form and we'll help you.

I subscribed to a paid plan but I'm not satisfied with Involy, can you refund my subscription?

Unfortunately, no. That's why we recommend initially signing up with the free plan, which allows you to try the app thoroughly and issue up to 24 invoices per year and, later, if you're satisfied with our offering, switch to a paid plan.

How can I cancel my Involy account?

We hope you have no reason to cancel your account, but if you decide to do so, you can cancel it from the settings tab using the "Cancel my account" button.

Please note that the process is irreversible, and all application data will be deleted. Make sure to have downloaded all PDFs of the invoices you have issued with Involy.

Also note that if you have a paid plan and cancel before your subscription renewal date, we cannot refund the unused portion of the current period.

Questions about Verifactu (only Spanish tax residents)

Is Involy compatible with Verifactu?

Yes, Involy is compatible with Verifactu and issued invoices include a QR code that allows independent validation of their authenticity, as required by Verifactu.

What does it mean that Involy is compatible with Verifactu?

When Involy operates in Verifactu mode, every time an invoice is issued the Tax Agency is notified in real time of the invoice data. When the PDF of the invoice is generated, a QR code is included that allows the recipient to verify the authenticity of the invoice and the amounts shown.

This means that once the invoice is issued it cannot be modified. If a correction is necessary, a corrective invoice must be issued, which can be done easily with Involy.

A particular case is if the sale did not actually take place; in that case the invoice can be cancelled and a cancellation record will be notified to the Tax Agency via Verifactu (see invoicing questions below).

Why does Involy operate in Verifactu mode if Verifactu has not yet come into force?

The original effective date of the Verifactu regulation was January 1, 2026 for companies and July 1, 2026 for freelancers.
The Tax Agency required Billing Information Systems (SIF) to be adapted before that date, but in mid-December those dates were postponed by one year.

However, Verifactu requires that once an SIF begins operating in Verifactu mode it continue to operate in that way even if the Verifactu regulation has not yet come into force.

What advantages are there to operating in Verifactu mode now?

Verifactu will be mandatory on January 1, 2027 for companies and July 1, 2027 for freelancers, so if you start issuing your invoices through a Verifactu-compatible Billing Information System (SIF) you will already be prepared when the date arrives and avoid the last-minute stress of finding a solution that meets your needs. Also, operating in Verifactu mode will not impose any additional burden on you, Involy will do everything for you.

Also consider that, by communicating your invoicing data to the Tax Agency in real time and provided that they are correct, you give the Tax Agency fewer reasons to trigger an inspection.

Questions about invoicing

I need to issue an invoice but I'm not sure it will be final

If you need to issue an invoice but think you might need to correct it later, the safest option is to create a proforma invoice, which allows all kinds of modifications and to issue it when the sale is completed or the service provided. You can even send it to your client for approval before issuing it (see the question "I want to issue a quote for a client").

Proforma invoices have no legal value; they are equivalent to a quote or delivery note and therefore are not notified to Verifactu.

Note that when you issue the proforma invoice, the issue date of the invoice will be that day's date, not the date you originally created the invoice (unless it is created and issued on the same day).

I want to issue a quote for a client

You can create a proforma invoice and send it to your client. When the sale or service is final you don't need to create a new invoice; just press the "Issue" button on it and it will become a legal invoice with the corresponding numbering.

I issued an invoice and I cannot modify it

Indeed, when an invoice is issued Verifactu requires Billing Information Systems (SIF) operating in Verifactu mode to report them in real time, not allowing subsequent modifications. The only allowed changes are the invoice's payment date and its internal notes.

But the invoice has an error that I must correct

If you have already sent the invoice to your client, you must keep the original invoice and issue a corrective invoice, which can be by replacement (annulling the previous invoice and replacing it with a new one) or by differences, in which the original invoice remains valid and another is generated correcting it.

Note that in both cases the corrected invoice will continue to be visible in the invoice list with a status "Corrected". We have a tutorial in the application that explains step by step how to create a corrective invoice and its different types.

If you have not yet sent the invoice to your client or the sale has not occurred, you can choose to cancel it and create a new one (see the following question).

I issued an invoice but the sale did not take place

If you issued an invoice but the operation (sale or service) has not been carried out, or if you issued it by mistake but did not send it to your client, you can cancel it from the invoice management screen.

Note that the invoice will not be deleted, it will remain in the invoice list in "Cancelled" status and if you print its PDF the invoice will appear with a cancellation stamp.

I can't issue an invoice with a past/future date

Indeed, since Involy operates in Verifactu mode, the invoice issue date must match the current date.

If you want to prepare invoices to send to your clients on a future date, you can generate a proforma invoice and, when that date arrives, convert it into a final invoice using the "Issue" button on the invoice form.

In addition, proforma invoices allow all kinds of modifications, both in line items, amounts and recipients, so if you need to make any changes you are covered.

If you don't want to have to issue an invoice on a specific date (and you are certain that the sale or services will occur on that date), you can use Involy's functionality to schedule the issue date of proforma invoices. Simply select the desired date and, when the time comes, Involy will automatically generate it and register it in Verifactu.

Do you offer templates for invoice generation?

No, because we believe it is very difficult to meet everyone's needs with predetermined templates. We think a better option is to offer a customization service to generate a template suited to the needs of a particular user (bear in mind that this is a paid service). If you are interested in this option, you can contact us through the contact form.

I already have an invoice template I'd like to use in Involy

You can contact us to incorporate your template into Involy so that you can use it (bear in mind that this service involves a cost). If you are interested, contact us via the contact form.

Can I issue invoices in a language other than Spanish?

Yes, with Involy you can issue invoices in Spanish, English, Portuguese, French, German, Italian, Catalan, Basque and Galician. Note that Involy only translates the fixed elements of the invoice; the specific line item descriptions must be translated by you.

Questions about features

Does Involy have any inventory or product management functionality?

Not currently, but it's something we plan to add soon.

I like working with Involy but I miss a feature

Contact us via the contact form and tell us what you need; it may already be planned for the near future, or if we see it is demanded by a sufficient number of users, we may schedule it.

Does Involy have any accounting, taxes, etc. functionality?

No, Involy is designed as a simple application for freelancers and SMEs. We offer the basic functionality for users to issue and manage invoices in an agile way and complying with legal requirements, at very competitive prices (in many cases free!). If you think you need more complex features, there are many other applications on the market that can better serve those needs.

Does Involy integrate with application X?

Involy does not integrate directly with any other application, but it provides a well-documented API that allows other applications to integrate with Involy

Miscellaneous questions

Is there any online help that explains the operation of the application?

Yes, on all screens of the application you will find icons with a question mark symbol and by clicking on them you will get detailed information in a pop-up window about the meaning of the field or the operation you are going to perform.

Additionally, we will soon add online help on each screen of the application, consisting of a video that explains step by step the different functionalities (creating an invoice, issuing a corrective invoice, etc.).

Finally, you will be able to find all explanatory videos on our YouTube channel, in case you want to watch them before entering the application.
